Usage type: small biz

Preferred form factor DS (DiskStation)

Number of bays: 4-bays

Do you have any existing drives that you plan on using? No

Prefered RAID array setup for this NAS: not sure

This NAS will be used for: backup, business (virtual machines, mail, office, etc.)

Max budget for this setup: 2000 USD

Number of users that will utilize this NAS: 0

Any preferred network connectivity? 1G

Where will this NAS be used: LAN and over the Internet

Any special network requirements: /

Special cloud provider connectivity: Synology C2, AWS, OneDrive

Additional information:
I have a well-functioning DS413. I am the original owner and have taken good care of it.
I have three bays occupied with an SHR raid. 5.45 TB capacity. 3.55 TB Used. The drives are WD 3 TB each. WD20EFAX.

The current NAS is being used as a mixed-use server with storage for my important personal information and my company's information.

New Nas requirements:
  • Store my years of backup and duplicates of that backup data.
    • using the storage analyzer program to dedupe is tedious but good.
  • Keep local copies of critical business information. Local encryption.
  • Allow the data on the server to be available to others as needed.
  • Work well with MS Office 365 business plan (email, SharePoint, etc...)
  • Allow offsite employees to store and access data.
  • Plex (or others) capabilities would be nice, but not needed today.
Can the solution help with my college-age kids and having their MAC data stored/backed up?

The budget is a guess. Who knows what things cost these days?
 
As @Coop777 said 923 would be my first choice, but also DS423+ could be also an option and it does support Plex transcoding while it can suzpport all the requested tasks. It might need a memory upgrade to begin with, but it could be an alternative to the 923.
